A: If customer self-service is permitted, at the time of issuance by the insured a copy of the certificate is immediately e-mailed to the administrator. This is automatic, cannot be over-ridden, and applies to every document generated through eCertsONLINE. This function is another security measure built into the program and was done for several reasons. First, it permits the administrator to immediately monitor the content of the certificate and the wording in the Description of Operations. Second, the administrator can continuously update its own management system with the certificate information if it so chooses. Third, the vast majority of insurance carriers require copies of all certificates and endorsements issued on behalf of the insured and rather than photocopying, typing envelopes, and spending 39 cents postage, eCertsONLINE can also automatically e-mail a copy to the insurance carrier(s) involved.
If additional security is desired, the administrator may also choose to invoke our Approval mode. This function permits the administrator to preview the completed certificate prior to issuance and either approve or reject its content. If approved, the certificate is automatically issued. If rejected, notification is sent to the insured with an explanation. This function is available on a customer-by-customer basis and is an ideal training aid for new users. |
